We had previously utilized GoverSpot, which at the time provided the basics of what we were attempting to accomplish; creation of Agenda's, tracking minutes, etc .... however it became apparent that we needed more and that more became OnBoard which has exceeded our expectations and we have not even touched the tip of the iceberg yet! So far, not a thing! I guess I will preface that comment by saying that as the Administrator of our account, it would be nice to have total access and not require members to make profile changes and such, but otherwise we are very happy with our purchase. Our previous software lacked the ability to take minutes in a meaningful manner as we would have to enter the names of those whom were in attendance, and identify who mad motions, seconded them, and worse it had a 100 word limit. OnBoard has built in features to provide RSVP functionality for meetings, the roster populates when you open the minutes to take attendance and it has many unique feature such as the ability to create agenda's and allow other's to make comments or changes prior to making the agenda go live!

OnBoard has allowed us to move our Charity Board meetings into the digital age. The system is easy to access, navigate and create content with regular improvements throughout the year. Customers are encouraged to provide feedback so that further improvements can be made. The Customer Support team are always on hand, quick to respond, friendly and helpful. It has definitely improved our speed of content distribution ahead of the Board meetings and allows us to host meetings both in person and virtually. Nothing to dislike. System is excellent. previously all meetings s were distributed using email and also with hard copies at the meeting. We are now able to circulate much more quickly while the system also allows us to add content very quickly, sometimes just before the meeting if required. Having documents signed such as AGM and Board minutes / Declarations of Conflicts of Interest / Surveys has also improved our efficiency and how quickly we can get things done.

The minutes creation and agenda building are definitely the most helpful to me so far. They really streamline those processes in creating both. Also having a live agenda that many people are able to edit and manipulate without relying on one person to compile. It would be very helpful to be able to edit documents live within OnBoard. Allowing multiple users to make changes without downloading and re-uploading. OnBoard has been a dream to work with and the product is comprehensive, intuitive and continues to get better. The team has been incredibly supportive in every stage thus far. I love that they are focused on gaining feedback on the good and the things the customer would like to see in the future. Overall, I would absolutely recommend OnBoard to others! This has brought many different platforms, files, calendars etc. into one central spot. This is true one stop shopping. It has improved efficiancy and organization for staff and Board members.

If I have to pick something, it would be that all announcements and board materials are in one location. This was one of the selling points for us, but a special webpage on our website for board members only could also provide this. I also liked the idea that members could vote for action items if they weren't able to attend a meeting, but since we are a small nonprofit, we don't have a lot of major action items that need to be documented in this way. You cannot invite board members to a meeting when it is posted on the calendar. I've spoken with the design staff at OnBoard and they told me that this is not something that OnBoard was intended for. Members have to 1) remember that there is a meeting coming up; 2) log in to OnBoard; 3) find the meeting; 4) download it to their calendar; 5) and make sure that they manually enter the remote meeting information since it does not download with the rest of the meeting information. This huge gap makes OnBoard obsolete from the get-go, at least for us. We have to invite everyone with a totally separate Outlook calendar invite so that they can make sure they are able to attend. We have a very active 20+ member board who are engaged, passionate, and also very busy. I hate adding extra steps that complicate things, especially since they are volunteers and already giving so much of their time and resources. If an organization has the resources and need for all of the bells and whistles, then it could be a good idea. If an organization is a small nonprofit with low-key action items, I recommend using Google drive or a special webpage designed for board members only where they can access all board packets and organizational information. OnBoard actually creates more work for us. We have tried to "force" it onto our staff and board members but it's just not a good fit. We have different levels of tech-savvy members and not all of them get why they have to take the extra steps of logging in to OnBoard and finding the meeting for which they need information for. They end up emailing staff and asking for the information anyways, which adds to our work. It's easier to just email everyone a calendar invite from get-go to avoid any confusion. We love our board members and appreciate them. We don't want to give them headaches. Hello, Thank you for sharing your experience with OnBoard. We are always looking to improve our product to match the needs of our customer and standards of the industry. If you need assistance in optimizing your experience using OnBoard, please reach out to our award-winning customer support team.

OnBoard is easy to use and helps to keep our Board organized and informed. The meeting book makes it simple to follow along with the appropriate materials. The search function allows us to store a wide variety of policies, procedures, past meeting information, and general information that every Trustee needs to have at their fingertips. Everything they could ever want is right there. As an administrator on the product, I appreciate how simple it is to create an agenda, add materials to the site, and invite people to join. OnBoard automatically sends upcoming meeting reminders for me and reminds me when it's time to get ready for a meeting. The support team is very responsive, and the help menu has a lot of helpful resources. One of my only complaints is that you cannot create recurring meetings in OnBoard. All of our Board and Committee meetings recur monthly, and it is tedious to enter each meeting individually. I have been told that they are aware of this and are working on an update. Previously, all our Board materials, including historical meeting materials and upcoming materials, were in a folder on our school website. This method worked in that everything was there and available for our Trustees. The problem was that there wasn't an easy way to search for the files that our Trustees needed in the moment. OnBoard has an incredible search function so that Trustees have everything they need when they need it. Additionally, previously many Trustees would print out the materials and shuffle through paperwork throughout the meeting to find the document that was being discussed at the time. The meeting book has helped alleviate this issue as all the relevant materials are available through an interactive agenda. Trustees only need to click on the relevant section of the agenda, and the materials are there.

A safe and secure place to store meeting documents and notes for a long period of time. Having to go back and make sure a document uploaded the right way. Sometimes folks forget the formatting requirements (doc., pdf., etc,,,) when uploading a document or do not know how to upload a landscape document vs. portrait. It does take a while to get used to new features after an upgrade. I did not like the change to icons on the menu bar, even though you can click on an icon for the menu words. While upgrades are good, OnBoard seems to be catered more towards the younger generation. Our more mature executives have a harder time navigating the site. They do not like having to download a new application after an upgrade or deleting/adding a new "short-cut" on their desktop. Online resource for board reports. Eliminates the need for having to support a back-up server for board documents. We are now introducing the ability to schedule your updates (we are the first in the industry to do so), so you can decide when to do them (e.g. after a board meeting scheduled in the near future). As for the updates, they are generally a necessary evil. We want to stay ahead of security risks and also want to leverage new functionality that the mobile operating systems offer. We realize getting used to something new can take time, however we try to balance that against overall design improvements and adding new functionality. Sorry for any inconvenience caused and we hope long-term you will get the most out of the upgrades. Passageways always values your feedback.

Virtual meetings have become an essential matter for us, and on a daily basis we organize and participate in meetings remotely, and OnBoard has helped us organize all the affairs of remote meetings, and since using it, managing the agenda, writing minutes of meetings, as well as tracking notes and participating in tasks and reports related to them is done properly, and it is also wonderful that every It is saved and archived on the cloud in an organized manner.

My overall experience with OnBoard has been refreshing. As stated in my rating above, we are an organization spread across the USA, record management and real time communications is very important. OnBoard has made our ability to retain records and connect with our membership, truly less stressful. Looking forward to continuing learning and working with OnBoard. The Board of Directors really need to engage in the on going training offered.

we used onboard once for a board meeting. It really did not make a lasting impression on me as a tool that made my job incredibly easy. Without paying any money, we could have done the same thing by email. Not sure why we didnt take that route.

While some evaluated competitors included the same features as OnBoard, they were complicated to use and navigate. Being adept with technology and having trouble with them in demo versions, I couldn't imagine presenting them to board members who work primarily with paper and are used to paper packets. OnBoard was substantially more user-friendly and intuitive to use. Other competitors evaluated didn't offer the integrated survey and electronic signature features that OnBoard does. These were must-have features for us when choosing a board management platform.
OnBoard is an adaptable platform that could be used for most meetings. It works perfectly to build an agenda and packet for board and committee meetings. It allows for easy RSVP to ensure a quorum at meetings. All users are able to easily view the packet and can even make notations of points they want to discuss during the meeting. OnBoard doesn't work well for detailed documents such as spreadsheets. Our company has a strategic plan and we cannot use OnBoard for that committee meeting. The size of the spreadsheet simply doesn't function well within OnBoard and isn't easily navigable. The same is true of certain financial spreadsheets.
Allows for easy additions or changes to the board packet. Provides imbedded electronic signatures easily linked to appropriate agenda items. Provides an easily downloadable copy of the packet and agenda. Allows companies to upload documents of significance such as Bylaws into a centralized Resource Center which is securely accessible. Customer support is excellent. You can always get a timely answer via phone or email. The follow-up on issues that can't be resolved immediately is very timely and thorough.
I'd like to see the electronic signature feature upgraded to allow signature box rotation. Sometimes documents are a combination of portrait and landscape and the current setup only recognizes one orientation when inserting signature boxes. There is a syncing issue that occurs during seasonal time changes that sometimes prevents users from accessing OnBoard. Our IT department has needed to help board members resolve this and regain access. There are several new features to OnBoard now, but they come at a cost. While it's nice to demo these features, it would be great to have some new features included in the already purchased package instead of at an additional cost. The Zoom integration is nice but doesn't meet our needs. You do not have screen share or other Zoom features available while using it integrated within OnBoard. For remote meetings, we use Zoom and screen share OnBoard within its own browser.

After researching and using other board management software, I recommended OnBoard to our administration and board leadership because of their partnership with the Associate of Governing Boards (higher education) and the features that came with our initial package. Many of the products I researched only offered slick board books and didn't have the administrative features we were looking for in a board portal. Since we selected them, OnBoard has added new features once or twice a year. They offer monthly webinars to help promote or use new products, hear feedback from other users on utilizing features and other such topics.
OnBoard [Board Management Software] can be utilized for new board member orientation or refresher courses for trustees who have been serving for awhile. Board members can access the information at their leisure rather than just during an in-person session. We rarely have to print hard copies of board materials now that trustees have had a chance to get used to using OnBoard. Creating meetings and getting the information to board members is now immediate. Reminders about upcoming meetings are generated automatically by OnBoard which frees up my time.
Secure board materials - the administrator can control what board members see what materials. Contact information - email and mailing addresses are readily available. Board terms - term lengths for every board member is tracked through the system. Meeting feedback - simple surveys are sent immediately after a meeting to get feedback from meeting attendees for future planning.
Most all of the areas that we needed to more effectively manage our board meetings are included now.

We stacked up [to] four options at the outset and weighed such factors as [the] cost and feel of the platform. I can say that each offered unique advantages, however, in the end, OnBoard's customer service seemed to be the best fit for us, and looking back on it for all of the training our board needed, paying a little more for that very good customer service was a good investment for us.
It is great for small nonprofits with active boards who receive lots of materials ahead of board meetings and have votes to do ahead [of] or during meetings themselves. It is less suited to sharing information with very wide groups of members as you pay by [the] user. So, for very large groups we use Box instead to share files with others.
Assembles board books Provides for remote votes on resolutions Easy to navigate Great roles and permissions functions Nice filing system for historical documents
Not all file types can be saved in OnBoard [Board Management] such as movies and things like that which aren't embedded in PowerPoint files. Permissions can be unwieldy at times. It would be nice to have one screen that shows by [the] user all of their permissions. The zoom functionality on OnBoard [Board Management] is different than the typical Zoom package as it doesn't provide for meetings vs conferences. Files aren't saved logically sometimes. Hard to move files from one folder to another.

My overall experience with Onboard has been fantastic and I am a big fan. [SENSITIVE CONTENT HIDDEN] has been thoroughly engaged, and is always available to help me with everything needed. I recommend the product and the team.
I really appreciate the fact that you can customize the customer journey, and have access to a great team at onboard, where your recommendations/feedback are implemented and/or added to their roadmap. [SENSITIVE CONTENT HIDDEN] is awesome to work with and really listens/tailors to our needs and requests.
No cons yet... they're still in early access mode, but make are constantly making feature updates quickly and efficiently. I really look forward to seeing their upcoming product releases!
