    Simple configuration and the support team Very slightly clunky UI but improving... I would recommend Workbooks to medium-sized companies without pre-existing highly technical CRM professionals, but who want to initiate a CRM journey. The system is easy for a layperson to administrate without a definitive need for separate sandbox/dev/live environments to achieve the initial build and ongoing configurations. The inclusion of the direct Workbooks Support team in the product package and the simplistic configuration functionality negates the need for additional external consultative support; providing a much more cost-effective and straightforward CRM solution directly in your control. The system UI is simple, and can therefore seem slightly clunky at times during general usage and reporting. Nevertheless, their intent toward usability shows in their latest release, which has focused on improving intuitiveness in the system's look and feel and reducing the number of clicks. In my experience so far, Workbooks are an approachable, helpful and solid company. They have an already good, easy to configure CRM solution and lots of aspiration and ambition to improve. Looking to solve in the first instance - sales pipeline visibility, target tracking, NPS analytics, client activity tracking, improved client insights.

    Integration with MS Outlook - all the e-mail and calendar functionality. This is much better than Goldmine. The Workbooks Add-in is a potentially useful function but below are the shortfalls in its capability. Linking and Synchronising MS Outlook with Workbooks. Choosing whether to link e-mails to a person or organisation is unclear. This means the e-mail history and Summary need to be trawled through and filtered to identify a discussion trail. Goldmine was much easier. The Calendar's inability to synchronise recurrent meetings is ridiculous. Workbooks need the ability to record multiple e-mail addresses for people and organisations. Search defaults to close after a selection is made. This needs to remain open as a default. Quotations cannot be amended and a new one, with a new number, needs to be created. Amending the quotation with versions retained would be useful. Not a lot, just yet. We are still struggling to adapt to the new work processes and referring back to Goldmine too much. Business performance is not yet increasing as a result of the transfer.

    It is a great instrument to create Reports and Dashboards that give you knowledge of your Case KPIs. Understanding your client care execution will assist you with pursuing the ideal choices - eventually expanding consumer loyalty. It gives a more top to bottom glance at your clients so they don't escape everyone's notice. The usability and the option to explore the framework are exceptionally helpful. The degree of writing about exercises, amazing open doors, existing client data and deals figures. There are little components that I might want to change yet these aren't large changes. It is somewhat off-kilter attempting to choose different exercises other than separating down to the specific subtleties you really want yet in the event that you had the option to utilize a check box and simply select the exercises you needed to change I feel this could be a decent expansion. Making more potential customer age open information which takes care of through to the executives revealing and technique. Robotization of cycles that were already manual.

    I like setting a contact to watch so it always pops up first. I do this with my hottest leads so I can remember to touch base with them. In the activity feed it shows me what opportunities are still open and what leads I need to tend to. I also like how there is a field to track how this lead heard about our company so the marketing company can tell what is working and what is not working. There is advanced reporting in quickbooks that keeps tracks of all interactions which is nice for a sales team to have access to. I also like how you can make the new opportunities look the exact way you would like it to look. You can take out information, add a logo, or implement new information in an opportunity. There are many things that I do not like about quickbooks. There is too much power given to the system's admin vs. the user. For example, if a user creates an opportunity, they do not have the ability to edit once they post the opportunity. The user needs special permissions to edit their OWN work. That makes no sense to me. The opportunity that you create, should be yours to edit. If I sent my client the wrong opportunity and see that it is incorrect within a minute's time, I should be able to send my client a new opportunity without the hassle of my manager being involved. I also don't like when you open an opportunity it asks you to put in the date it should close, that isn't always guaranteed and it is not needed for a field. I also do not like that if you want to add more fields to a lead, you have to pull your systems admin aside and have them add the field you'd like into the lead for you. However, you can pass opportunities to other people without approval from a system's admin. That is so backwards to me. If anything, this is when a system's admin should be approving if that is allowed or not. I don't like when you add contacts the different stages you can place them in is totally unnecessary to closing a sale. You can put them in as either positive or negatively support your business, but that doesn't ultimately matter when you're trying to close a sale. You can put down in the notes that Jake at the front desk doesn't like your business but it isn't needed as a field. The product book is not useful I think that Workbooks is too outdated. The interface is not easy to use and boring to look at. I like that there is a free option, but that's only free if you have only two users. You should look into Hubspot or Pipedrive instead! Tried for a period of time to use it with the sales team I was on. It wasn't successful application.

    It allows our company to run our business. We can track support cases and the associated organisational contracts. As this is a SaaS system this means no server maintenance, upgrades take place at night so there is very little downtime. So many windows to click and wait for things to open. At times it can take minutes for windows to open which can get very frustrating. It's not built as a support system, so it's only logging the emails which some with categorisations and custom fields. Overtime your DB can become massive due to storing every entire email rather than reading the email and storing only the new parts. There isn't a convenient way to see a summary of a support case you have to read every email. Contacting their support team can be complex, they only allow 2 authorised contacts, so if your 2 colleagues happen to be off they won't answer your call. Good system for tracking customers and contacts, opportunities etc... Tracking support cases is an add on to this and depending on how complex your needs will depend on how well workbooks does this. It works it just could be significantly better. Companies can be linked to contracts, contracts can be linked to support cases. So only active support contracts get support. Multiple team members can do support at the same time, without answering the same case two times. Automated replies giving customer case numbers and a point of reply. Integration with our accounts software.

    Very little. What I like best is completing marketing without the hinderance of Communigator! A slow platform that is not robust. Complicated campaign set-up. Unreliable. Avoid GatorMail from Workbooks. You will spend more time raising support requests than actually completing effective marketing. This has caused nothing but business problems. We are a marketing consultancy that has experience of other marketing automation software and are fully versed in marketing automation techniques. This system consumed staff time, rather than being an enabler. A number of errors and limitations to the system meant we were left with landing pages and forms not working, triggered emails inoperable and workflows were not sophisticated enough to meet our requirements. So this just left us using it as an email send system, this then started to fail. Send statistics seemed to vary and be inconsistent and the drag and drop editor is slow and flaky. A fault also crept in with email sign-up, so new registrants were not being included in email sends.

    Overall workbooks has helped me to reduce the time I spend maintaining all the details related to customers and sales. Now this tool has helped me to organise and bring out more details from that. The account management and forecast has really helped me to do planning.

    As a publisher, we were looking to get this to do everything from flat planning, through to media booking and accounts. Due to not having one of the top packages it meant that the product couldnt meet our needs. This wasn't Workbooks fault. I did find that the integrations with things such as Outlook broke regularly which was slightly frustrating

    Have worked with the likes of SugarCRM, Salesforce, Siebel, and some of their predecessors. Most of them are too much, too complex and too expensive. Have seen most of these implemenations fail. Buying these typically require much consultancy and much bespoke implementation time and issues. So buying too much, and using too little of what comes with the service. And still not getting it right. Workbooks gives the right basis, intuitive and flexible, without compromising the ability to grow with and within your organisation. All very cost effective, intuitive, and efficint.
    Workbooks provides multi-currency, multi-tier functionality. Which supports the channel in being able to differentiate towards various partners and to leverage the functionality for the various communities and countries, using the same system/setup. If you are very heavy on project management then Workbooks is somewhat limited, but then again its a CRM and not a project planning tool. There is no limit to scale, although Workbooks aims and is most geared towards SMB. Lots of functionality is available and can be added upon or modified using scripts and integrations. It is recommended to do a good requirements gathering and use a phased implementation approach such that you stay on track. The Workbooks team is very happy to support with this.
    Workbooks is intuitive, and provides the right type of functionality that fit SMB type organisations in handling their sales and business development processes. Workbooks provides the capability to deal with End-to-End processes, from Lead to Order to Cash. So including sending out invoices. Also allows to integrate with accounting packages, either through existing integrations or through available API. Workbooks is easy to use and configure and yet powerful and flexible. Most functionality is available 'out of the box' and more is available through configuring the system yourselves or by being supported by Workbooks, who are very knowledgable and provide friendly and high quality support in delivering to your requirement. Workbooks is priced right and cost effective. Allows to mix-and-match users with different requirements and corresponding licenses. Thus stays fit for purpose to the various types of users in your organisation, ensuring you are not overcharged. Really like the scheduled reporting, so we can have automated reports in email telling us new leads in today not followed up yet when on the move. Also useful for weekly management summaries automatically prompting you to review exceptions.
    The flexibility and wealth of functions does require good thinking and preparation before implementing Workbooks. At times it is rather complex to choose the right approach to the type of functionality to implement, as a multitude of options is available and could end up not choosing the right setup. This could cause some iterations in getting it right. Advanced insights may redirect your approach, but then the service is very flexible to modify to your need. Still it's easy to start off quickly and learn by doing. Importing functionality is somewhat limited in feedback of where the import goes wrong. While the function works great when you have it right, and this protects from loading in wrong data, you are not getting much feedback where you go wrong in trying to import legacy data. Limited planning and Calendar function, and limited synchronisation / integration with e.g. google calendar. Need for language packs. Whilst Google Chrome provides an automated translate function when using Workbooks, and the ability to change the names of (almost) all your fields, as well as handle the data in Workbooks in your own language, it would be great to be able to have language packages in working with Workbooks fully in your native language.

    Sage CRM overall is a good product, but it's ease of use left something to be desired, especially with our administrative department that had little to no experience with CRM. Another BIG PLUS of Workbooks.com over Sage is the fact that it's somewhere between 50% to 30% cheaper! The fact that this is a cloud based solution was something we grew into as a company. Before we didn't have access to real time data, there would always be a production pause on data produced by our off premise sales team.
    Workbooks offers great support, as do ( in our experience) local partners. It works really well for our sales and marketing departments. Workbooks is really effective in tracking our marketing campaigns. It also keeps tabs on existing clients, and gives insight on how quickly potentials are turned to customers. As with all CRM it strongly depends on how well it is being maintained and used by the user. We have found that with the ease of use of Workbooks its become much less of an issue. Where as before we didn't only look at the data produced but actually had to keep track of the system being used accurately. We constantly needed to keep tabs on the actual level of maintaining. The fact that we see data being produced organically (naturally being updated and tracked) to me is a testament of the user friendly nature of workbooks.
    Scalability of the service Integration with Mailchimp and other solutions such as Google Agenda etc The fact that it has a great dashboard was a big help to our sales team, as well as the ease with which reports can be produced on the fly as well as exporting reset data Actually keeping tabs on the sales process per user is a great help for me to set targets or adjust course if needed The simplicity and easewith which we can export PDF templates for offers, confirmation orders and invoices.
    There really isn't all that much, what I would like to see is an app to use on iDevices. Our sales team all have iPads for presentations etc. While Workbooks works rather well with HTML 5, I would still like to see an app. I know it's in the making, but haven't seen anything of this as of yet. I am sure that would increase productivity even further (if it's of the same standard as the main environment).

    Workbooks is highly customizable, affordable, scalable, and a workhorse when it comes to being able to design a system to get things done. There is almost no limitations to what can be done with it, and even if you don't want to use their built in automation engine to design highly specific workflows, the functionality out of the gates is a tremendous asset for most businesses.
    It's a really great system for small to medium organizations that are willing to spend some time thinking about how their workflow can be improved by designing processes which will allow them to streamline and automate their business. For people who are not serious about making a commitment to bettering their business, Workbooks may not be a correct fit. For instance there are a lot of features which many people think they don't need, but they haven't really spent the time to figure out what the needs of the business are. The nice thing about Workbooks is that you can turn off things you don't need, and then when the business demands, they will be there for you to utilize.
    Automation - It allows you to create automated follow ups and reminders based on updating fields or other criteria Reporting - In depth reporting and dashboards allow you to keep track of your business from following up on sales leads to what is in your pipeline. You can even automate reports so that they are created and sent in real time so you don't even have to be in the system to get your reports if you so choose. Integrating with other platforms. We have integrated Workbooks with things like Quickbooks, MailChimp, HelloSign and others to make our processes more automated and streamlined. High amount of Customization - No limitations on custom fields that can be created, multiple form layouts per record type, create your own relationships between people and/or organizations.
    It would be nice to have the google calendar integration now, but it's coming in Q1 of 2015 so we're happy to have that feature.

    The ability to move towards a single, powerful platform which streamlined business processes from marketing to sales and order processing and gave each area of the business full and powerful reporting.
    Support: Workbooks have a very strong and capable support team which really helps outweigh any of the slightly frustrating areas of the CRM. They are very quick to respond via email and very few problems taking longer than a single phone call to resolve. Capability / Flexibility: The system is extremely flexible. It allows a huge amount of different areas of the business to be logged, controlled and reported on. Some CRM systems can deal with lead tracking and customer tracking, but Workbooks very easily deals with this as well as all financial areas of the business sales orders, invoicing, purchasing and more. `Single Platform: linked to its flexibility, Workbooks, with the introduction of the Web Insights and Email Marketing platforms is able to deal with a contact end to end, from warming a lead up, to delivering a product once they have become a customer and then their journey via support and account management. Reporting: The reporting engine is so powerful that you can create virtually anything you can think of. I have only found one thing when creating reports that I wasn't able to do, even then it was a nice to have. Once you understand how the platform works, it becomes an invaluable tool.
    Capability / Flexibility: Although this is in the pros, it is not without its frustrations. The flexibility of the platform, in particular 'how' you make it fit what you need, also makes it difficult to understand. It is not immediately intuitive to customize and if you add modules after using it for some time, (like the advanced security) it can be extremely painful. Some areas of the platform seem overly convoluted and often either need the help of their support team (who are excellent) or sometimes a consultant which comes at extra cost. Reporting: Again, as the reporting engine is so powerful it creates its own downside due to being unintuitive and even with some understanding difficult to understand. You cannot simply open a new blank report and create even simple reporting without having some idea of the logic behind how it works. A number of other CRM's allow you create 'general' reports far easier due to a more simple interface but they lack the power. I think there are areas where the platform could be easier to use and therefore create some frustrations but if you are aware that you need to have training and understanding in how the platform works first, you will have a versatile and powerful tool for your business.

    All in all I found this a frustrating system to work with and many of our users both current and historical did not engage with it leading to issues over data capture.
    Having used a number of CRM systems in the past, both off the shelf and bespoke, I inherited this one on starting a new role. As the administrator for the system I had full control on how the system was used. At the time of first engagement, the system had been in place for 2 years but non of the functionality had been integrated. As a CRM it was servicable for basic functionality
    Sending emails from within the CRM was possible although setting up templates had to be done on an email by email basis and had to be either text or full html. There was no wysiwyg functionality. For this, you needed to purchase the add on of Gatormail. This also meant that there was no automation on emails. Automation of functionality had to be done by the 3rd party vendor /support - whilst this comes as standard foran admin on most CRMs it was not in workbooks as it again required background set up rather than drag and drop. Reporting was also not drag and drop and was made harder requiring work by the 3rd party vendor /support. Adding in fields to a tab, 3rd party support ... this racked up costs on development that should have been done by the administrator. Data was strung across multiple tabs and windows making updating records time consuming and led to many of the users not engaging with the CRM and data not being captured. When reaching out to workbooks themselves they pushed us back to the 3rd party vendor each time.

    Initially Workbooks was taken on to replace the relatively medievil practice of managing prospects, pipeline and forecasts in spreadsheets and make information more accessible, and ultimately improve the way in which we dealt with customers, suppliers, prospects and so on. Once we started to trial and use the service we recognised that we could use it for much much more, and in fact we have been able to reduce the amount of paperwork and personnel involved in managing certain tasks, such as producing quotes or tracking the success and return of marketing campaigns. We are a big advocate of Workbooks, and it is and has helped us shape the way in which we work for the better. We have now been on board for 18 months and will extend our usage of the service in the future.
    Easy to customize (fields, views, reports), the service requires very little training Configuration and policy enforcement is straightforward Ability to manage multiple databases Forecasting and tracking opportunites from prospect through to sale
    Our biggest challenges have been with adoption and getting people working in a standardised fashion. My only criticism currently is that to my knowledge I can integrate it with outlook to record history, I believe this is coming.

    We were working across 6 databases (a separate one for each of our brands) and had no visibility of crossover. Workbooks has given us this capability as well as the business intelligence that connects an individual to their activity with our products. This means segmenting and targeting our marketing becomes easier and more effective.
    The flexibility of Workbooks allows us to edit and format the system exactly as we want it The system is easy to navigate and has helped us introduce a more standardised way of working across the business. Integrating into GatorMail means that Workbooks becomes more powerful. We now have a true single customer view that includes all marketing contact as well as website activity of our members. From this information, we are able to automate marketing campaigns triggered by this intelligence.
    The importing tool is good and fairly intuitive for simple tasks but there is a lot of data work that needs to be done beforehand. Importing orders can be awkward and it takes a fair bit of trial and error to get the mapping of existing data to fit into the system correctly. Reporting takes a bit of time to master but once you've done this, it becomes a key part of the systems everyday usage.

    We use Workbooks to keep track of all our members, providers, volunteers and sponsors; communication and for managing activities. It saves vital time, which is invaluable when you are running a voluntary project as well as a business. Most importantly for me, it is easy to use and quick to learn. I really like the fact I can quickly filter data, so if I want to list all members and what activities they are interested in, it's just a couple of clicks and I have what I need. I can easily send emails or track projects. I like the fact that we can easily personalise it to meet our unique project requirements. I am keen to now use it in my training business.
    Quick to set up, easy to use and very reliable. It is also free to use for up to 2 users, which is fantastic value for a voluntary project or small business. It was so easy to convert over the data from our existing Works database into Workbooks.
    I haven't found the time to really utilise so much more of what it is capable of. I am just at the tip of the iceberg of all its functions. My fault, not Workbooks.

    I have always loved working with Workbooks. All of their staff have never failed to be as helpful as they can be, and they are very quick to support us with any issues or queries that we may have. Their CRM package is very different to the kind of platform that a company like TDS would require but they have always helped us customize our databases so that we are able to support our products as best we can. Support team, in particular, stand out as a team that provides star service whenever we need help, and I cannot praise them enough.
    Workbooks is easy to use and intuitive. We have customised our databases heavily to support our products and this has only made Workbooks better for us as a company. It is largely a self-service platform and means that we have a lot more control of our data than we had with our previous provider.
    I would like more information when I receive errors when creating reports, or a bit more content on the Knowledge Base about this so that I do not need to refer my queries to Support as often.
